Every few years, companies replace their laptops, desktops, servers and network gear. The old equipment then sits in a storeroom, or goes out with the scrap dealer. Both are risky. Here is a simple checklist for businesses in Vadodara, Ahmedabad, Surat and across Gujarat.
Step 1: Make an asset list
Before anything leaves your office, list it:
- Device type, brand and model
- Serial number or asset tag
- Whether it contains a storage device (hard disk, SSD, memory card)
This list becomes your record for audits and for the E-Waste (Management) Rules, 2022.
Step 2: Back up what you need
Copy any business data you must keep to your current systems or backups. Check with each department first.
Step 3: Wipe or destroy the data
Deleting files or formatting a drive does not remove data. It can often be recovered with free tools.
Choose one of these:
- Secure wipe using proper data-erasure software that overwrites the whole drive.
- Physical destruction of hard disks and SSDs (drilling, crushing or shredding) if they will not be reused.
Keep a note of which method you used for each device. Remember phones, tablets, printers with storage, and memory cards too.
Step 4: Remove batteries
Lithium batteries in laptops and UPS units are a fire risk in mixed scrap. Remove them where it is safe to do so and keep them separate.
Step 5: Separate high-value parts
Circuit boards, processors, RAM and memory cards contain gold, silver and palladium. Keeping them separate from plastic and metal casings helps you get a fairer value. See which parts contain precious metals.
Step 6: Hand over to a proper recycler
Avoid informal dealers. Choose a recycler who can explain what happens to your equipment and who processes it with pollution control. Get documents for every handover.
Step 7: Keep the paperwork
File your asset list, data-wipe notes and handover documents together. This protects your company in audits and supports your ESG reporting.
